Turning stressful meetings into productive ones with Caption.Ed

As a Programme Coordinator, Zoë regularly attends meetings and training sessions. But with large groups gathered around long conference tables, it is often difficult to hear what’s being said and to participate fully in discussions. This made tasks like minute-taking especially challenging for her.

“Minute-taking, in particular, has been stressful and difficult under these conditions,” Zoë explains. The size and layout of the room, combined with the number of attendees, often left her straining to catch every word. The result was slower note-taking, increased fatigue, and the constant worry of missing key details.

Zoë wasn’t aware of assistive technologies like Caption.Ed until it was recommended through Access to Work (AtW). “I was previously unaware of assistive technologies such as Caption.Ed, so I was pleased to learn about it,” she says. Having spent years attending meetings and taking minutes without support, she immediately recognised the potential benefits for her confidence and efficiency.

With Caption.Ed, Zoë no longer has to worry about missing information in large meetings. The software captures the key themes being discussed, significantly improving audibility and making it easier for her to stay engaged.

She’s also found it particularly useful for online meetings and training sessions. By recording sessions and reviewing key points afterwards, Zoë can stay fully engaged in the moment rather than dividing her attention between listening and note-taking.

Zoë says Caption.Ed has already improved her productivity and confidence at work by allowing her to complete tasks more effectively. The ability to record, revisit, and generate AI-powered summaries has freed her from the stress of hurried note-taking, giving her more time to focus on higher-value tasks.

Instead of leaving meetings drained, Zoë now finishes them with greater confidence and clarity. The reduced fatigue and time savings make every workday smoother.

When we asked if she’d recommend Caption.Ed to others facing similar challenges, Zoë didn’t hesitate.

“Absolutely – give it a go!” she replied. She says one of the biggest benefits of Caption.Ed has been reduced fatigue and stress during group events and meetings. In the past, she would leave meetings drained from constantly trying to follow what was being said and worrying about missing key points. With Caption.Ed, the process is easier, smoother, and far less time-consuming.

Without Caption.Ed, I would lose my newfound confidence and the ability to interact with others.
